RESOURCES / RECEIVING A DELIVERY

Preparing your site for the first fuel delivery

Once delivery arrangements are confirmed, make sure the receiving contact, entrance and equipment details are ready for arrival.

Check the arrangements before arrival

This checklist is for a delivery that has been arranged. An online request alone does not reserve a delivery or confirm its timing.

Delivery details

Review the confirmed location, product, quantity arrangements and receiving window. Resolve any differences from the original request with Fuel Bridge.

Correct entrance

Confirm the gate, access road and receiving point. A billing address or map pin at the project boundary may not identify the entrance.

Available contact

Make sure the receiving contact knows about the visit and can be reached by mobile phone during the window. Provide a backup if needed.

Equipment or tank identification

Identify the units or tanks included in the delivery. Report equipment moved to another work area or vehicles that will be absent.

Access changes

Report changed gate hours, escorts, check-in requirements or access restrictions before arrival. Follow the site’s receiving procedures.

Changed demand

Tell Fuel Bridge if tank levels, equipment counts, operating hours or product requirements have changed since the arrangements were confirmed.

Give the receiving contact a clear handoff

EXAMPLE HANDOFF NOTE

Delivery reference: [reference]. Receiving window: [confirmed window]. Enter through [gate/access road]. Receiving point: [tank ID or equipment group]. Site contact: [name and mobile]. Check-in requirements: [instructions]. Changes since confirmation: [details or none].

Use the confirmed details and share the note with the person receiving the delivery. If information changes, communicate the update to Fuel Bridge as well as the site team.

Keep the record and report questions promptly

  • Retain the delivery date, reference, product and delivered quantity shown on the record.
  • Identify the receiving tank or equipment group in your site records.
  • Raise a quantity, product or paperwork question with the delivery reference and relevant details.
  • Update the next delivery’s instructions if access, contacts or requirements have changed.
